Volunteer Human Resources and Administrator Co-ordinator

About the role


 To support the organisation’s staff, governance, and administrative systems, ensuring volunteers and team members are well-supported and processes are compliant and organised. 

Key responsibilities

 

  • Support volunteer recruitment, onboarding, and role documentation.

  • Maintain volunteer records and internal policies (e.g. codes of conduct).

  • Assist with basic HR processes such as role descriptions, agreements, and performance check-ins.

  • Support board and governance administration (meeting packs, minutes, records).

  • Help establish simple, scalable HR and admin systems appropriate for a growing nonprofit.
     

Requirements

  

Necessary / required

  • Commitment of ~4–6 hours per week, with flexibility for periodic peaks; reviewed every 2 months.
  • Experience in human resources, administrative systems (reporting, documentation, workflow management), and organisational development.
  • Experience with recruitment, onboarding, or performance management of staff or volunteers.
  • Familiarity or working knowledge of basic governance and compliance principles relevant to nonprofit organisations, including board governance structures and nonprofit accountability practices.
  • Familiarity or working knowledge of South African labour law and the Protection of Personal Information Act (POPIA).
  • Relevant HR qualification (e.g., BCom HRM, Bachelor in Human Resource Management, Industrial/Organisational Psychology, or National/Advanced Diploma in HRM).
  • SABPP HR Practitioner (HR Pract.) registration or eligibility to register.
  • Strong attention to detail and ability to handle sensitive information with confidentiality.
  • Ability to work independently, systematically, and proactively.
  • Good communication skills, both written and verbal, to liaise effectively with volunteers, leadership, and partners.
  • Basic proficiency with office software (email, MS Word, Google Docs, MS Excel) and online collaboration tools.

Desirable:

  • Experience working in nonprofit, volunteer-based, or small organisations.
  • Experience managing or coordinating small teams, volunteers, or projects.
  • Professional certifications or short courses in HR, project management, or administrative systems.
  • Familiarity with research ethics.
  • Society for Human Resource Management Certified Professional (SHRM-CP) or other internationally recognised HR certifications.
